Post-Award Considerations

Required Project Reporting

Awardees are required to submit four annual reports for URC awards. These reports provide the URC with needed insight into both the progress of work, the post-completion impact of each award made through the program, as well as supporting future allocations of institutional funds to the URC.

Project Reporting Schedule

URC awardees are required to submit four annual reports via Emory InfoReady as follows:

  • Annual Report 1 – due 30 days following the end of the standard URC grant project period, noted above.
  • Annual Report 2, 3 & 4 – due annually in June; required for three full years following the end of the URC cycle’s project period.*

*Awardees who are approved for no-cost extensions (NCE) will be required to submit each report above, as well as additional annual reports determined by the NCE date. This extended reporting requirement ensures that the URC program can meet its criteria for collecting three years of follow-up reporting for each award issued.

Non-compliant award recipients will be ineligible to apply for another URC grant until all the reports are submitted and accepted by the URC.  

Acknowledgement of Funding Support

Abstracts, publications, presentations, creative works, and similar products arising from the work funded by the URC program should cite the appropriate funding source:

  • Emory URC Research Award
  • Emory URC - Halle Institute Global Research Award
  • Emory URC - Fox Center for Humanistic InquiryResearch Award

Post-Award Financial Management

URC awards are managed by the awardee’s departmental administrative financial support staff. The awardee’s financial department is responsible for establishing the URC award/project, monitoring and managing all associate expenses, and  closing the award once the URC project is completed.

URC awards are funded at the end of the award period through a reimbursement process. Course release funds are transferred directly to awardee’s school at the beginning of the fiscal year.

Additional URC Funding Conditions

The following reflect key conditions of a URC award. Full award conditions and considerations are found here on URC’s website and maybe updated during your award period, as necessary.

  • Course release is not equivalent to a leave or sabbatical. ECAS faculty who receive course release(s) through URC funding are expected to be in residence and to participate fully in all faculty service responsibilities including department and committee meetings, student advising, etc.
  • Specialty equipment purchased with URC funds becomes the property of the University.
  • Abstracts, publications, presentations, creative works, and similar products arising from the work funded by the URC program should cite the appropriate funding source: Emory URC Research Award, Emory URC - Halle Institute Global Research Award or the URC / Fox Center for Humanistic Inquiry Fellowship.
  • Awardees are required to serve on the URC review panel for a period of three (3) consecutive years, beginning with the award period immediately following their award cycle. Service includes:
    • Review and scoring of URC proposal submissions
    • Attendance at the associated review panel meeting (Details of review panel commitment are provided annually.)

Change Notice Required:

  • The Awardee must promptly notify the URC program coordinator if funding received from another source overlaps with the aims and allocated expenses of this award. In such instances, it may be necessary to relinquish all or part of URC funding.
  • A 10% budget modification of the proposed use of awarded URC funds is permitted without approval from the URC; however, budgetary changes must adhere to the URC Policies and Guidelines.
  • The Awardee is required to contact the URC program coordinator at urcappl@emory.edu for prior approval if other changes to the awarded application are desired, such as significant changes in scope.

No Cost Extensions (NCE)

URC awards are non-renewable grants, designed to be completed within one 12-month time period, beginning to end. While it is not routine practice for the URC to grant NCEs, on occasion, additional time is needed due to extenuating circumstances that may have hindered the completion of the project within the standard 12-month award period.

Upon approval by the URC leadership, one NCE is permitted for a project after the original 12-month award period. NCEs cannot exceed four (4) months beyond the award period end date.

Post-Award FAQs

Yes, in some circumstances. For example, the PI of the award is leaving Emory prior to the end of the URC project. A detailed justification in support of the request to reallocate URC funds to another Emory faculty must be submitted, in writing, to the URC coordinator for approval by the URC co-chairs.  A budget, current at the time of the request, must be submitted with the Justification.  The justification must be signed by the PI's department chair." 

* Reallocation of URC funds is ONLY granted to another Emory faculty member, not to another institution.

  • If you have received previous URC funding, then please note that you cannot receive new URC funds until after 3 URC annual grant cycles have passed from the completion date of your previous URC grant.
  • If a no-cost extension (NCE) was approved for your previous grant, then the end date of the NCE is considered the completion date.
  • To receive funding after 3 URC grant cycles have passed, you can apply to the URC in the 3rd cycle after completion of your last URC grant. Example: If you submitted a URC application during the URC 2019-2020 cycle and received project funding in 2020-2021 (and didn’t use a no-cost extension), then you would “wait out” submission/award cycles 2021-2022 and 2022-2023 and then be eligible to submit an application in the URC grant cycle 2023-2024, which would provide project funding in 2024-2025.

Awardees are required to submit four annual reports for URC awards. Each report is due June 30th annually for four continuous years following the completion of the URC award project . Recipients will be notified by an email containing a link to the Report, which is submitted online through the Emory InfoReady URC portal. 

Non-compliant award recipients will be ineligible to apply for another URC grant until all the reports are submitted and accepted by the URC.
